Coordination Service

For couples who have booked a dry hire venue and need someone to take care of all the logistics on the day: The service includes.

Pre wedding

  • Examine all contracts and documents if required.

  • Discuss the services and specific arrangements with the couple to understand what is required for the day.

  • Understand Changes and Requests

  • Gather information about any changes or special requests regarding specific services.

  • Connect with Suppliers

  • Introduce myself to the suppliers and provide them with my contact information as their main point of contact for the day.

  • Address their needs on the day of the event, ensuring they have everything required by communicating with both the couple and the venue.

On the day

  • Event Coordination Checklist

  • Arrive before the suppliers.

  • Manage logistics for suppliers. E.g.Notify catering about guest arrivals for welcome drinks.

  • Oversee the ceremony. Coordinate the entrance of the bride and groom and work alongside other suppliers such as live musicians or the DJ.

  • Assist guests as needed. Guide them to the cocktail area, among other locations.

  • Facilitate entrance to the reception area.

  • Serve as the point of contact for catering and other vendors. Address specific meal requests and other special needs.

  • Coordinate speeches if necessary. Ensure catering runs smoothly during these moments.

  • Organize cake time. Gather guests as needed, including the DJ.

  • Manage the first dance if required.

  • Depending on the contracted hours, arrange transportation for guests returning home.
